Office Manager/Circulation Manager (South San Francisco)

Full time office manager needed for small publishing firm (4 people) in South San Francisco. Employee should be familiar with QuickBooks, Excel, Word, and FileMaker programs. This is a general office position that includes:

General Accounting – A/P, A/R, Billing for magazine advertising (hard copy and digital) published six-times per year as well as for subscriptions. Also invoicing for related items, including: reprints, single copies of magazine, back issues, CDs, etc.

Financial Duties – Making bank deposits, keeping an account register (recording all deposits and debits), writing checks, and bi-monthly payroll to be sent to Accountant and all checks recorded. Paying monthly taxes and keeping tax records for Accounting firm.

Circulation – Handle all subscription records for hard copy and digital readers, including: sending renewal notices, processing subscription orders, dealing with subscription agencies, adding new names to circulation lists, keeping information on each subscriber up-to-date.

Shipping – When orders received, able to ship small single copies of magazines via Fed Ex or UPS. Responsible for shipping boxes of magazines to conferences/trade shows.

Web Duties – Updating new articles to company website on a bi-monthly basis.

Looking for person who is extremely detail-oriented and trustworthy.

Workday is 9:00 a.m. to 4:30 p.m. M-F. We pay for an eight-hour day. Salary starts at $19.00 per hour. We offer one paid family day per month. We provide health insurance (we pay half and the other half comes out of your paycheck). The office has a casual atmosphere. Seeking an individual looking for a longer-term commitment.  Pay increases after working 6 months, bonus checks at discretion of employer. Employee is offered five days of vacation during their first year of employment, which can only be taken after the first six months of employment.
